The Checkout Process enables residents to check-out of their room/apartment without scheduling an appointment.

Residents who are graduating, studying abroad, withdrawing / taking a leave of absence, or if your exchange has ended, are able to check out of their Spring assignments and must be cleared from their space by 12 noon on Sunday, May 19, 2019.

If you are checking out, all items must be removed from your room and the space cleaned before you are ready to checkout. If you rearranged the furniture in your room, please make sure it is put back the way it was when you first moved in. Charges may apply for furniture that is not returned to its original configuration.

All students that do not meet one of these requirements for checkout listed above must be checked out of your room by 12 noon on Saturday, May 18, 2019.

If you have an extenuating circumstance, you may submit an Exception to Policy by May 3, 2019.

Main Campus

You can pick up a check out envelope from either our Main Campus Housing Office or the Promontory Housing Office starting May 3, 2019.

Return your check out envelope with your keys inside to either the Main Campus Housing Office or the Promontory Housing Office.

Graduating residents will be allowed to check out by 12 noon on Sunday, May 19, 2019. Graduates still need to follow the same check out process by either picking up a check out envelope, or scheduling a check-out appointment with our office. Be on time for your check-out appointment.


If you have been approved to check out, you are responsible for cleaning your area and returning it to its original configuration. Steps must be taken to ensure no mold, or mildew is in your room. Housing staff will conduct inspections to make sure all rooms are ready for winter break, to check for facility issues, and to inspect for mold and mildew.

Note - If there are any obvious Community Standards Violations found during these inspections, they will be documented.

Facilities – Cleanliness: CSU Monterey Bay staff members/Alliance Residential Company clean each room/suite/apartment prior to, and after, occupancy. Thereafter it is the responsibility of the resident(s) to clean their individual and community space(s). All residential spaces are expected to be kept in a sanitary condition for the duration of occupancy, and in a clean condition upon vacating. If a room/suite/apartment is not returned to its original clean condition when the resident first moved in upon checking out of their space, the resident(s) will be responsible for associated charges. Additionally, when facilities issues arise (i.e. broken windows, leaks, damaged Student Housing & Residential Life property, etc.) it is the student’s responsibility to report the issue immediately. Failure to report a facilities concern within a timely manner may be considered a violation of these Student Housing & Residential Life Community Standards and individuals may be subject to applicable charges.

Meal Plans

Meal plans do not roll over from Spring to Fall. All meals and dining dollars will expire at the end of the Spring Semester. Please visit the Dining Services website for more information.

Mail Services

Mail will stop being delivered to all Residence Halls and North Quad Buildings after Friday May 17, 2019.

It is important you update your address information with employers, magazine subscriptions, etc. for the Summer and Fall. You can fill out a change of address form, to have your mail forwarded to your permanent address. Mail Forwarding can be picked up at any Post Office, but will also be available in the Main Campus Student Housing & Residential Life office closer to Spring Move-Out day.

For a nominal fee, you can also complete the Mail Forwarding form online at the USPS website. (RECOMMENDED FOR SPRING CLOSING ONLY)

Students living on campus during the summer will have letter mail delivered to their summer address. Only students signed up for summer housing will have their mail delivered. All other student mail will be returned to sender.

Winter Building Closure

Facilities will begin work in all Residence Halls, North Quad, and Promontory buildings for water quality testing. All halls, suites, and apartments will be closed and must be vacant by 12 noon, Saturday, December 22.

East Campus

Beginning May 3, 2019, check out envelopes will be available at the East Campus Housing Office.

Prior to placing your keys in the Check-Out Envelope, please make sure you have removed all of your belongings from your room/apartment, cleaned according to the Cleaning Guidelines (which are included on the envelope) and lock your room.

Once this has been completed, place your keys in the Checkout Envelope and give the sealed envelope to the East Campus Housing Office, during regular business hours.

Regular Business Hours

Monday – Friday: 9am-6pm

Saturday: 9am-4pm

Sunday: CLOSED

While not encouraged, if you need to drop off your envelope after business hours, make sure the envelope is sealed, completely filled out and place it in the drop box outside of 603 Thomas Court.

Once the information on your Check-Out Envelope is completed, signed, and the envelope is turned in, the Check-Out Process is complete!


  • Remove all trash and take outside to proper trash receptacle.
  • Furniture in original/proper configuration (if applicable).
  • Wipe clean the inside & outside of dressers and desk and desk hutch (if applicable).
  • Flip mattress (if applicable).
  • Sweep/vacuum carpet (including in closet).
  • Wash windows and clean grooves, blinds should not be bent and should be in up position.
  • Reassemble all furniture (if applicable).
  • Remove any nails/tape from walls and doors.


  • Disinfect and mop floor.
  • Clean cabinet under sink
  • Clean all bathroom walls.
  • Wipe mirror free of any spots or streaks.
  • Clean and disinfect sink, faucets and counter.
  • Scrub and disinfect the inside and outside of toilet.
  • Clean hair out of shower and sink drains.
  • Scrub and disinfect shower (wall and floor) free of all dirt and stains.

Living Room

  • Remove couch cushions and vacuum within grooves of couch (furnished apartments).
  • Furniture in original/proper configuration (if applicable).
  • Vacuum hallway.
  • Remove any tacks or nails from walls.
  • Wipe clean the inside and outside of TV stand (furnished apartments).
  • Sweep/mop kitchen floor.
  • Vacuum carpet area.


  • Clean interior and exterior of oven, dishwasher & stove.
  • Furniture in original/ proper configuration (if applicable).
  • Wipe down dining room table and all chairs (furnished apartments).
  • Wipe clean all drawers and cupboards.
  • Sweep/mop/disinfect kitchen/dining room floor.
  • Disinfect the interior and exterior of refrigerator. Wipe down all shelves and drawers.
  • Clean sink (make sure you have kitchen sink plug).


  • Remove all trash and take outside to proper trash receptacle.
  • Remove any nails/tape from walls and doors.
  • Separate paper, plastic, cans, and bottles and take out to proper recycling receptacle.

Tuesday, May 7, 2019 – Eligibility Deadline – Spring residents must be enrolled in the minimum number of units to retain their assignment.

Saturday, May 18, 2019 – All residents not continuing for the Summer Semester must be checked out of their rooms by 12 noon.

Sunday, May 19, 2019 - All residents who are graduating need to be checked out of their apartments by 12 noon.
