Salaried Faculty and Staff

All absences and additional time worked are reported online. The guides below are intended for employees to self-report or view time and absence data.

  • Navigate to: Self Service > Time Reporting > Report Time > Report and View Absences

    Complete the following steps under Enter New Absence Events

    1. Absence Name - Select type from drop down menu.
    2. Begin date/End date – Enter begin date of the absence. If absence spans more than one date, enter the end date.
    3. Partial Day - If entering a full day absence, partial days should indicate None.
    4. Partial Day – If entering a partial day absence, select “partial hours” from the drop down menu and enter the number of hours taken. NOTE: All exempt employees should report time in whole days only; there should not be any partial day reporting for exempt employees.
    5. Select Add Comment to describe absence (some absences (e.g. sick-leave–family) will require additional information.
    6. To add an additional absence, click on the plus “+” sign at the end of the row.
    7. Once all absences have been entered, click on Calculate Duration. This will fill out the Absence Duration column automatically, based on your entry and current work schedule.
    8. Click Submit

  • Overtime - Overtime is defined as authorized time worked in excess of forty (40) hours in a workweek* (Sunday-Saturday) by non-exempt employees based on the provisions of the Fair Labor Standards Act (FLSA) and in compliance with the appropriate collective bargaining contract. Authorized overtime hours for cash compensation are entered on the timesheet.

    Compensatory Time Off (CTO) - Time off with pay in lieu of cash compensation for authorized overtime (time worked in excess of forty (40) hours in a workweek) applies to non-exempt, represented employees only. CTO hours are reported in AMSS.

    Report overtime hours for cash compensation

    1. Navigate to: Self Service > Time Reporting > Report Time > Timesheet
    2. Enter the total number of hours on each date
    3. Select the Time Reporting Code from the drop down menu
    4. Each type of time must be reported on a separate row
    5. Click the "+" button to insert a new row
    6. Click Submit

    Report overtime hours for CTO

    CTO Premium Earn - Compensatory Time Off (CTO) earned at the overtime (one and one-half times) rate in lieu of receiving payment in cash

    CTO Straight Earn - Compensatory Time Off (CTO) earned at the straight (one time) rate in lieu of receiving payment in cash.

    Navigate to: Self Service > Time Reporting > Report Time > Report and View Absences

    Complete the following steps under Enter New Absence Events

    1. Select Absence Name from drop down menu
    2. Enter the Begin Date and End Date
    3. Enter the number of hours
    4. Click Calculate Duration and verify the Absence Duration is correct
    5. Add Comments, if needed
    6. Click the + button to insert a new row
    7. Click Submit

    Time reporting code definitions

    Overtime

    OTPR - Overtime paid @ 1.5 - Cash compensation for authorized hours worked in excess of forty (40) hours in a workweek (Sunday-Saturday)

    OTST - Overtime paid @ 1.0 - For part-time employees, any hours worked in excess of an employee’s regular work schedule but less than 40.1 hours should be entered as Overtime Paid at Straight Time

    Shift

    Certain bargaining units and job classifications are eligible for shift differential. An eligible employee who works 4 or more hours during shift time shall be paid the shift differential for the employee’s entire shift. See table below for codes
