Below you will find answers to some of the most common questions our office receives. When available, we have provided instructions or links to the applicable webpages. We strive to maintain up-to-date information to ensure accuracy. Please let us know if any of the information on this page is incorrect.
How do I view my current benefit elections?
Employees may view current benefit elections using the Common Management System (CMS). After logging into CMS, use the following navigation: Self Service ==> Benefits ==> Benefits Summary. This will provide the current selected benefits.
How do I order (or re-order) medical ID cards and when will I receive them?
Employees can order/re-order medical ID cards from the respective medical provider. Medical ID cards may take 2-4 weeks to receive depending on the organization. The contact information for current medical providers can be found on the Benefits Contact Information webpage of the Human Resources website.
Where do I find information about my dental benefits and providers?
Employees can find information about dental benefits and providers in several places:
- Log into CMS==>Self Service ==> Benefits ==> Benefits Summary
- Review the dental plan information on the Human Resources dental plans webpage
- Contact the dental provider directly using information found on the Human Resources Benefits Contact Information webpage
Where do I find information about my vision benefits and providers?
Employees can find information about vision benefits and the provider in several places:
- Log into CMS ==>Self Service ==> Benefits ==> Benefits Summary
- Review the vision plan information on the Human Resources vision plan webpage
- Contact the vision provider directly using information found on the Human Resources vision plan webpage
Where can I find information about the Fee Waiver program?
Information and forms regarding the CSU Fee Waiver program can be found on the Human Resources CSU Fee Waiver Program webpage.
Where can I find information about planning for retirement?
It is highly recommended that any employees interested in planning for retirement set up an in-person meeting with our Benefits Analyst, Terri Giroux (tgiroux@csumb.edu or (831) 582-4426). As each person's situation is different, we highly recommend meeting in-person.
How do I know if I am in a bargaining unit?
There are several different bargaining units on the CSUMB campus. Employees may review their current appointment letter to determine to which, if any, bargaining unit the employee belongs. Additionally, the employee's manager can provide this information.
Where do I find my current collective bargaining agreement (CBA)?
The current CBAs for CSUMB employees can be found on the Employee Relations webpage of the Human Resources website.
How do I request a work schedule change?
Requests for a work schedule change should be submitted as provided for in the applicable CBA. If a work schedule change is granted, the employee and MPP Supervisor must complete and submit a Work Schedule form (found on the Work schedule webpage of the Human Resources website) to Human Resources. Additional information about irregular or alternate work schedules can be found in the applicable CBA and on the Payroll Basics webpage of the CSUMB Payroll website.
What type of professional development is available for me?
CSUMB employees have free access to the online eLearning system, SumTotal. In addition to housing mandatory training, SumTotal offers recommended and optional courses, videos, and books for employees for further skill development. Employees can log into SumTotal using their campus single sign on feature.
How do I view my personnel file?
Employees may contact Human Resources at (831) 582-3389 to schedule a time to view their personnel file. For staff and MPP employees, please ask to schedule a time with your Division's HR Generalist to view your personnel file. For faculty, please ask to schedule a time with Melissa Manivanh or Amy Thurman to review your personnel action file (PAF).
How do I find my current balance of sick leave, vacation, or personal holidays?
Employees may view their leave balances using CMS. After logging into CMS, use the following navigation: Self Service ==> Time Reporting ==> Employee Balance Inquiry. This will display the current sick leave, vacation balance, and personal holidays available.
How much bereavement time do I receive?
Because there are different guidelines for this type of leave, employees must refer to the applicable collective bargaining agreement and related policies to determine the duration and eligibility of bereavement leave.
Where do I find information specifically regarding faculty leaves?
Information regarding leaves specifically for faculty can be found on the Faculty unit leaves webpage of the Human Resources website.
Who do I contact regarding an extended leave (more than five days)?
Staff employees who need information regarding an extended leave may contact Linda Schaedle (x3584, lschaedle@csumb.edu).
Faculty employees who need information regarding an extended leave may contact Amy Thurman (x5403, athurman@csumb.edu).
Where can I view my current paycheck?
Employees can view their paycheck history online through CMS. Log into CMS and use the following navigation: Self Service ==> Payroll and Compensation ==> View Paycheck. This will allow users to select the current and past paychecks. Additional information can be found on the CSUMB Payroll website.
When do I get paid?
The current payroll calendar is available on the CSUMB Payroll website. In addition to the pay dates for faculty, staff, students, and hourly employees, the Payroll calendar provides the holidays for the calendar year.
How do I update my name in the system?
Employees may update their name by completing and submitting an Employee Action Request form to the Payroll Office. The Employee Action Request form can be found on the Forms webpage of the CSUMB Payroll website. Please note that additional information may be required when requesting a name change.
How do I change my address?
Employees may change their address using one of the two following methods:
- Log into CMS and use the following navigation: Self Service ==> Personal Information ==> Home and Mailing Address. This is the preferred method as it is convenient, requires no paper and allows employees to update both the home and preferred mailing address.
- Completing and submitting an Employee Action Request form to the Payroll Office. The Employee Action Request form can be found on the Forms webpage of the CSUMB Payroll website.
How do I change my tax withholdings?
Employees may update their tax withholdings by completing and submitting an Employee Action Request form to the Payroll Office. The Employee Action Request form can be found on the Forms webpage of the CSUMB Payroll website.
Who do I contact if I do not receive my W-2?
W-2 forms are mailed directly from the State Controller in mid-January. Employees who have not received their W-2 form may request a duplicate (fees apply). The request form can be found on the State Controller's Office website.
When can I expect payments from non-industrial disability insurance (NDI) if I am on a leave covered by NDI?
Employees receiving NDI payments can expect the payments to be included with their monthly paycheck. For more information, please visit the N on-industrial disability insurance webpage on the Human Resources website.
