Understanding Payroll and Timekeeping

This page explains how pay and timekeeping work for University Corporation employees. It is here to help you get paid correctly and on time, record your work hours properly, and understand basic rules about work schedules, breaks, and leave.

Pay Schedule and How You’re Paid

University Corporation employees are paid semi-monthly according to the official payroll calendar. The calendar lists paydays, university holidays and key payroll deadlines.

Each paycheck includes earnings for all work performed through the end of the previous pay period. If you believe there is an error related to hours worked, please contact the Payroll Office as soon as possible so it can be reviewed.

All University Corporation employees are eligible for direct deposit. We strongly encourage enrollment to ensure timely and secure payment.

How to Update Direct Deposit in GoCo

  • Log in to GoCo
  • Navigate to Payment and Taxes
  • Enter or update your bank account information

Direct deposit funds are available on each semi-monthly payday listed in the payroll calendar.

To view your paycheck:

  • Log in to ADP
  • Navigate to Myself > Pay > Pay Statements > View Check Online Timecard System (ADP)

Semi-Monthly Pay Schedule

Pay dates are on or before the 10th and the 25th of each month. Please refer to the payroll calendar for specific dates.

  • Pay Period 1: 1st-15th of the month
  • Pay Period 2: 16th-last day of the month

Employees must enter and approve time in ADP:

  • On or before the 15th
  • On or before the last day of the month

If you enter hours after your timesheet has been approved, notify your supervisor so the additional time can also be approved.

Timekeeping and Payroll Access

All hourly (non-exempt) employees, including student employees and interns, are required to complete a timesheet for each pay period worked.

Recording Time

  • Timesheets must accurately reflect actual hours worked
    Example: If you arrive at 9:45 a.m., you may not record a 9:30 a.m. start time.
  • Total hours worked are rounded to the nearest quarter hour
  • Timesheets must be completed and submitted by the posted payroll deadlines

Overtime

Overtime for non-exempt employees must be approved in advance by the immediate supervisor through the timekeeping system.

Overtime is paid as follows:

  • Time worked over 8 hours in a day
  • Time worked over 40 hours in a workweek
  • Time worked over 12 hours in a day is paid at double time
  • On the 7th consecutive workday in a defined workweek:
    First 8 hours are paid at time and a half
    Hours worked beyond 8 are paid at double time

The University Corporation workweek begins Monday at 12:01 a.m. and ends Sunday at midnight.

Rest Breaks

  • Employees are entitled to a 10-minute paid rest break for every four hours worked, or major fraction thereof
  • If a workday is less than 3.5 hours, a rest break is not authorized
  • Rest breaks are paid time and may not be deducted from wages
  • Rest breaks may not be combined or used to arrive late or leave early

Meal Breaks

  • Employees who work more than five hours in a day are entitled to a 30-minute unpaid meal break, taken no later than the end of the fifth hour of work
  • Meal breaks must be fully relieved from duty and recorded on the timesheet
  • If a shift is six hours or less, the meal break may be waived by mutual agreement between the employee and supervisor — “Meal break waived” must be noted on the timesheet
  • Meal breaks may not be combined with rest breaks or used to shorten the workday

Sick and Vacation Leave

Employees who accrue sick and/or vacation leave must record leave accurately on their timesheet.

  • Sick leave is used for illness or injury of the employee or a qualifying family member — a doctor’s note is required for sick leave absences of five or more consecutive days
  • Vacation leave (if applicable) is used for planned absences not covered by sick leave
  • Employees must notify their supervisor in advance whenever possible
  • All available leave credits must be used before going on unpaid leave

Exempt employees record full-day absences only

University Corporation employees use ADP Workforce Now to enter and track work hours. After completing First-Time User Registration, use the steps below to record your time accurately and on schedule.

Entering Your Time

Access Your Timecard

  • In ADP, go to Myself
  • Select Time & Attendance
  • Choose My Timecard

Time Entry Guidelines

  • Enter your time daily.
  • Use AM/PM or 24-hour (military) time (the system defaults to AM — double-check before saving)
  • All time must be entered by the end of each pay period
    1st–15th of the month
    16th–last day of the month
  • Supervisors review and approve time on the 16th and the 1st of each month.

Recording Hours

  • Enter Time In and Time Out for each workday.
  • Select Save after each entry.
  • Check for errors by reviewing the icons next to each date.
  • To delete a row: Check the box next to the line, select Delete, click Save
  • Use the Find (refresh) button to speed up processing.

Fund, Department and Project Codes

Default codes will automatically populate your timesheet.

Review the Project number carefully:

  • If your Fund number begins with 5xxxx, it must match the first five digits of the Project number
  • Funds other than 5xxxx may or may not require a Project number

If you work on multiple projects, update the Fund, Department, Program, and Project fields as instructed by your supervisor.

Do not change the Earnings Code unless you are a benefitted employee.

  • Do not select “Regular” or “Overtime” — ADP calculates this automatically

There is no final submit button. Saving your timecard completes the entry.

Entering a Meal Break

Employees who work more than five hours in a day are entitled to a 30-minute unpaid meal break, taken no later than the end of the fifth hour of work.

How to Record a Meal Break

  • Add a new row using the add-row option next to the date
  • Record the clock-out and clock-in times for the meal break
  • Save your timecard

Additional Notes

  • Meal breaks are unpaid and must be taken off duty
  • If your shift is six hours or less, the meal break may be waived by mutual agreement with your supervisor — enter “No Lunch” in the notes section
  • Meal breaks must be recorded when taken
