New Employee Onboarding

Welcome to the University Corporation at Monterey Bay. We are glad you are here and look forward to working with you.

To begin your employment, please complete the required new hire paperwork by following the steps below. You may not begin work until all required documents have been submitted, any applicable background checks have been cleared, and your Form I-9 has been authorized.

New Employee Onboarding

Once Corporation Human Resources receives all required documentation from your supervisor, we are ready to begin your onboarding process.

You may not begin work until:

  • All required paperwork is received
  • Background check results (if applicable) are cleared
  • Your Form I-9 is authorized

A short onboarding overview video is available to help you understand the process.

Please complete the following steps in order.

Step 1: Complete required documents in GoCo

You will receive a secure GoCo link by email prior to your first day of employment. Use this link to complete required forms and policy acknowledgements.

Step 2: Complete your background check (if applicable)

If required for your position, you will receive instructions from Accurate Background.

Step 3: Complete your electronic Form I-9

You must complete your I-9 by the required deadline.

Step 4: Schedule your new hire meeting

Schedule a 15-30 minute meeting with Corporation Human Resources using the Calendly link provided.

In-person meetings are conducted in accordance with current public health guidance from Monterey County, the State of California, the CSU and the U.S. Department of Homeland Security.

Step 5: Submit proof of vaccination status (if applicable)

If your role requires in-person work, submit documentation on or before your first in-person workday.

Step 6: Register for ADP time and attendance

Instructions to set up your ADP account will be provided by Corporation HR after onboarding is complete and your Employment Status Form (ESF) is approved.

Step 7: Complete required compliance training

All required compliance training must be completed within 60 days of employment through the SumTotal learning system.

The Annual Security and Fire Safety Report includes information on campus safety, crime statistics and fire safety. You may view or request a copy through the University Police Department’s Statistics and Clery webpage.

I-9 reciprocity allows the University Corporation to accept a previously completed and verified Form I-9 under certain circumstances, rather than requiring a new form when an employee changes positions within the same organization.

When Reciprocity May Apply

I-9 reciprocity may be used when:

  • An employee transfers to a new department or role within the University Corporation
  • There is no break in service, or only a brief break consistent with policy
  • The original Form I-9 is properly completed and remains valid

In these cases, Section 3 of the existing I-9 may be updated to reflect the change in employment instead of completing a new form.

When Reciprocity Does Not Apply

A new Form I-9 is required if:

  • There has been a significant break in service
  • The original I-9 cannot be located
  • The previous I-9 was incomplete or not compliant
  • The employee is hired by a different employer

Because I-9 requirements are governed by federal law, reciprocity is applied in accordance with institutional policy and compliance standards.

The University Corporation at Monterey Bay participates in E-Verify, a service of the U.S. Department of Homeland Security and the Social Security Administration.
