Data Tools

Institutional Assessment and Research (IAR) helps the campus leverage data tools to uncover insights, guide decisions and drive progress across student success, academic programs, planning and institutional priorities.

Turning Data into Meaningful Impact

Aligned with Cal State Monterey Bay’s Strategic Plan priorities—such as promoting institutional excellence, strengthening student success, and cultivating an inclusive and engaged community—data tools and dashboards provide consistent, reliable information that supports strategic planning and performance monitoring. These resources help university leaders and departments identify trends, assess the impact of programs and policies and evaluate progress toward strategic goals. By translating complex data into clear, actionable insights, these tools strengthen institutional accountability, support evidence-informed decision-making and guide continuous improvement in academic quality and student outcomes.

Explore Campus, Systemwide, State and National Data Tools

A broad range of data tools and resources support institutional research, planning and decision-making at the campus, systemwide, state and national levels.

To help users find the appropriate data tool, IAR has classified a number of available resources by:

Campus Aggregate Data Tools

Summary-level, grouped data drawn from Cal State Monterey Bay systems and reporting sources for strategic planning, assessment and decision-making.

The Campus Data Warehouse is the designated official repository of institutional data about our students and includes interactive reports and dashboards that provide the campus community with insightful analysis and data visualization capabilities. The Campus Data Warehouse integrates core student systems into a single analytical database to support and inform decision-making processes and enables campus users to explore subject areas at every stage of the student life cycle. The Campus Data Warehouse tells you more about the students in your college or department and assists in identifying opportunities for improving student success campus wide.

The Campus Data Warehouse provides detailed aggregate (grouped) data for students and classes with expanded student characteristics and demographics and course/class details. Daily snapshots and census snapshots back to 2008.

Topical areas in the Campus Data Warehouse include reporting and analysis on:

  • Admissions
  • Enrollment and Enrollment Planning
  • Courses and Academic Planning Database (APDB)
  • Financial Aid
  • Grades, GPAs and Faculty Student Success
  • Institutional Surveys
  • Retention and Graduation
  • Degrees and Credentials
  • Academic Program Review and Program Health

IAR supports assessment, planning and improvement by collecting and sharing campus-wide institutional survey data.

Through Institutional Surveys—such as the CSUMB Experience Survey, National Survey of Student Engagement (NSSE), and Faculty Survey of Student Engagement (FSSE)—IAR gathers insights on student and faculty experiences and outcomes and makes results accessible via reporting tools and dashboards that support assessment and planning.

Institutional surveys provide valuable insights that help the university evaluate academic effectiveness, understand engagement, community and belonging and the student experience.

Access Institutional Survey Data

Access to institutional survey results varies by survey and administration year. See Institutional Surveys for guidance on access to results from a specific survey.

Who Supports Institutional Surveys

IAR supports users with using and interpreting the dashboards. To support use of survey data, IAR also offers tools and resources such as an institutional survey calendar, a survey question index and guidance on survey timing and burden, along with dashboards and reports to explore the results.

IAR is also available to consult on but does not conduct department-led campus survey initiatives.

Tools from Lightcast, such as alumni pathways and employment and labor market data, allow the campus to analyze employment and labor market trends for the region, state and nation as well as alumni pathways for institution's matched alumni, including career and education pathways, education outcomes, program snapshots, custom reports and comparisons with other institutions and regions.

The Common Data Set (CDS) project is a collaboration among data providers in the higher education sector and publishers such as the College Board, Peterson's, U.S. News & World Report, and Wintergreen/Orchard House. The overall objective of the CDS initiative is two-fold: to improve the quality and accuracy of data provided to organizations involved in students' transition into colleges and universities and to reduce the reporting burden on institutions that provide the data.

The CDS contains clearly defined data that range from admissions, enrollment, retention, classes, activities, policies, to costs for each participating institution. Data elements and definitions used by the U.S. Department of Education in its higher education surveys serve as a guide in the continued development of the CDS. Furthermore, CDS data elements undergo broad review by the CDS Advisory Board and data providers representing secondary schools and two- and four-year colleges. During its annual review process, feedback from organizations that utilize the CDS are taken into consideration.

The U.S. Department of Education's College Scorecard aims to increase transparency, putting the power in the hands of students and families to compare how well individual postsecondary institutions are preparing their students to be successful. The project provides data to help students and families compare college costs and outcomes as they weigh the tradeoffs of different colleges, accounting for their own needs and educational goals.

College Scorecard provides data at the institution-level as well as data by field of study.

CSU Systemwide Aggregate & Individual Data Tool

Summary and record-level data on Cal State Monterey Bay cohorts accessed through California State University systemwide platforms maintained by the Chancellor’s Office and Cal State Fullerton.

To catalyze a strong finish to Graduation Initiative 2025, the Office of the Chancellor is spearheading the creation of a Finish Strong Community of Practice and the introduction of a real-time, CSU-developed progression monitoring tool called Graduate365 that supports each university in identifying and intentionally increasing student progression and degree completion outcomes.

Graduate 365 leverages static data, otherwise known as cohort-based information, as well as real-time data pulled from student data systems. The tool leverages technical development of the Student Success Dashboard over the past decade at Cal State Fullerton through an Amazon Web Services (AWS) cloud setting.

Graduate 365 enables users to identify groups and individual students to increase progression and degree completion outcomes.

Access Graduate 365

Login required via Graduate 365. (Note: Graduate 365 is a separate AWS Quick Suite account hosted by Cal State Fullerton and requires a separate login and access than the Cal State Monterey Bay Campus Data Warehouse.)

The Western Association of Schools and Colleges (WASC) Senior College and University Commission (WSCUC) Key Indicators Dashboard (KID) is a data visualization tool that provides metrics and context on the educational environments and outcomes of WSCUC-accredited institutions. The dashboard's interactive features offer institutions, peer reviewers, and the public access to a wide range of metrics such as enrollment, retention, completion, and graduation rates. KID also includes metrics such as student debt, percentage of students earning more than a high school graduate at key intervals, and extensive student demographic information, among other metrics. KID is part of WSCUC's "better conversations, better data" initiative, which aims to strengthen the accreditation process through an evidence- and inquiry-based approach. KID draws from federal data sets, including the College Scorecard, and presents multiple years with comparisons to national, peer, and WSCUC averages.

The U.S. Bureau of Labor Statistics (BLS) Current Employment Statistics (CES) program produces detailed industry estimates of nonfarm employment, hours, and earnings of workers on payrolls. CES National Estimates produces data for the nation, and CES State and Metro Area produces estimates for all 50 States, the District of Columbia, Puerto Rico, the Virgin Islands, and about 450 metropolitan areas and divisions.

Each month, CES surveys approximately 121,000 businesses and government agencies, representing approximately 631,000 individual worksites.

The CES program produces nonfarm employment series for all employees (AE), production and nonsupervisory employees (PE), and women employees (WE). For AE and PE, CES also produces average hourly earnings (AHE), average weekly hours (AWH), and, in manufacturing industries only, average weekly overtime hours (AWOH).

Most detailed employment series begin in 1990, although employment by aggregate industry sector and most major industry sectors is published as far back as 1939. A list of currently published CES series is available on the CES Published Series webpage.
