Temporary Approval Acceptance Process

The University Corporation Accounting Office expanded its approval process for all transactions to enable our non-essential managers and staff to work remotely.

The Corporation allows most document approvals to be scanned or electronically signed. We still encourage authorized signers to print, sign, scan and return documents to the sender where possible. The alternative to this process is to utilize Adobe Sign.

Submitting Documents

For fastest processing submit documents virtually wherever possible. Documents sent by intercampus mail to Ryan Ranch are currently delayed. Utilize Adobe Sign whenever possible.

For grants, sponsors typically require supporting documentation when submitting invoices and the sponsor may not pay the invoice until documentation is received.

Digital copies of documents

Use your home scanner if you have one, then email the document from your home computer to your work email. Alternatively, take a photo with your digital camera or smart phone and email it to your work email.

Document drop-off

Hard copies may be dropped off at the Mail Room on Butler Street:

  • From April 1, 2020, mail is sorted by department and campus departments may pick up mail and packages at Building 35 (Shipping & Receiving) on Monday, Wednesday, and Friday between 8 - 10 a.m. and 3 - 4 p.m. Before coming to the mailroom, call Isaac Hernandez at 831-582-3703 to confirm that the mailroom is open.
  • The mailroom continues to receive mail and packages from commercial couriers only at Building 35.
  • All mail deliveries are suspended throughout the campus and Ryan Ranch.

Use VPN to connect to the Campus Network and access your M or J drive documents.

Adobe Creative Suite can help you to:

  • Print your documents as pdf files, this will allow anyone with a PDF Reader to view the document, as if it was printed.
  • Combine multiple pdfs into one document when all pages are related, using the Combine tool. This way you only need to attach one item to your email, instead of several.
  • Organize the pages of a pdf document using the Organize tool.
  • Add a text box for dates, chartstrings or notes on the face of your document using the Fill & Sign tool.
  • Virtually sign or initial your document using the Fill & Sign tool.
